Executive Assistant
Job Requirements
- Work experience as an Executive Assistant, Personal Assistant or similar role
- Excellent MS Office knowledge
- Outstanding organizational and time management skills
- Discretion and confidentiality
- Proficiency in social media management (especially Facebook) and content creation.
- Experience with CRM systems, Google Workspace, and Canva.
- Excellent communication skills, both written and verbal.
- Ability to work independently while maintaining a high level of attention to detail.
- Prior experience in real estate or a related field is preferred but not required.
Executive Assistant
Day to Day Responsibilities
- Handle client follow-ups, manage timely responses to inquiries, and keep the team informed about important updates.
- Assist in maintaining client relationships by ensuring a professional and consistent communication flow.
- Manage content creation, scheduling, and engagement for social media platforms.
- Monitor social media messengers to ensure prompt responses and maintain strong online interactions. Update and maintain the CRM with client information, leads, and organized data to support sales efforts.
- Follow up on potential leads to maximize sales opportunities.
- Create flyers, social media posts, and marketing materials using Canva, ensuring brand consistency.
- Collaborate with the team to align marketing efforts with business goals.
- Manage the team's email inbox, sort messages, send reminders, and respond to time-sensitive matters.
- Oversee calendar appointments, deadlines, and meetings to keep schedules organized.
- Organize and maintain the team's Google Drive with properly categorized files and documents.
- Maintain a digital filing system to support business operations.
- Generate and present sales reports, marketing performance metrics, and other business data.
- Ensure timely and accurate reporting for informed decision-making.
- Assist in creating and organizing training materials for future hires.
- Document workflows and procedures for internal use and team efficiency.
- Maintain a repository of processes and guidelines to streamline operations.
- Set up new agents in the workspace, including profiles on Dotloop, CRM, and other platforms.
- Track new agent training progress in the CRM to ensure timely completion.

Day to Day Responsibilities
- Lead Generation: Conduct outbound calls to warm and cold leads from various lead sources, including expired listings, FSBO (For Sale by Owner), and off-market properties.
- Follow-up: Build and maintain relationships with prospective clients by providing consistent and timely follow-up.
- Appointment Setting: Qualify leads and set appointments for real estate agents with potential buyers and sellers.
- Database Management: Accurately update and manage client and lead information in CRM (Customer Relationship Management) systems, ensuring all interactions are logged.
- Script Mastery: Use and adapt provided call scripts to effectively communicate with different types of leads (e.g., FSBO, FRBO, expired listings).
